TERMS AND CONDITIONS

Vietpower Travel, which operates the website vietnamexperiencetours.com, offers services in Vietnam, Laos, Cambodia, and Thai Land... By purchasing any of the services provided by Vietpower Travel, you are entering into a contract with them. Please review the following Terms & Conditions carefully to ensure you fully understand them before making a booking.

 

1. Quotation

We will send you a quotation via email, which includes the Itinerary and Services. Please note that the quotation is subject to change before the deposit is paid. This is because costs from suppliers, such as entrance fees, tolls, and fuel, can fluctuate. Vietpower Travel reserves the right to adjust the prices up or down before the deposit is received for these reasons.

 

2. Deposit and Final Payment

Typically, a deposit of 30% of the total tour cost is required at the time of booking. This deposit can be made via Credit Card (online payment) or Bank Transfer. The final payment is due upon arrival. The exact amount for both the deposit and final payment may vary depending on the services you book with Vietpower Travel. Our travel consultant will provide you with the precise details and due dates for both payments.

+ We prefer cash for the final payment to avoid additional fees.

+ If paying the final amount by Bank Transfer, please complete the transfer at least 3 weeks (21 days) before departing from your country and send us the bank slip. Ensure all transaction details are correct to avoid delays in receiving your payment.

+ If paying the final amount by Credit Card, we recommend making the payment before your arrival to prevent any issues with credit card processing or security that might delay the payment.

+ Failure to make the final payment by the specified deadline may result in Vietpower Travel withdrawing our services.

 

3. Payment methods

For security need, vietpower travel  prefers your payment by the following methods:

• Credit card payment

We accept VISA and MasterCard for payments, but please be aware that a 3% bank fee surcharge applies. To complete the payment process, please follow these steps:

• Print and fill out the Authorization Form with all required details.
• Include a copy of both sides of your credit card and a copy of the first page of your passport (showing identification and photo).
• Print and complete the Approval Letter, leaving the date section blank.

Once we receive these documents, we will send you an invoice via fax or email for your records.

Kindly note that the charge of your card will be appeared as Vietpower Travel.

Except for cash payment, bank fee charge may apply (any bank charge must be borne by customers). Our bank account details are as follows:

4. Confirmation

Typically, Vietpower Travel will confirm your booking via email within 2 days after receiving the deposit. Any changes to the services will be communicated to you by email or phone. If an urgent confirmation is needed, we will provide your booking status at the time of reservation.

5. Cancellation/ Refund

If unexpected circumstances should arise and impact your holiday plans, we would be glad to assist you with the cancellation procedures and refund your money. Our rates of refund are derived from our suppliers' requirements, and can be summarized as follows:

- 30 Days before trip commencement: 80% will be refunded

- 14 Days before trip commencement: 70% will be refunded

- 7 Days before trip commencement: 60% will be refunded

- No refund for cancellations within 2 days before departure.

For authentication purposes, only written cancellation notices (e-mail or fax) will be accepted.

The refund will be made through bank transfer or credit card, depending on the original method of purchase. Bank fees, if applicable, will be for your account.

 

6. Policy for Children

Our general policy for children's pricing is as follows, though exact rates may vary based on the services you book with Vietpower Travel. Our travel consultant will provide the specific children's rates for your booking:

+ Children under 5 years: Free for land tours if accompanied by at least 2 full-paying adults and sharing a bed with them. Flight ticket costs follow the airfare policy.

+ Children aged 5 to under 8 years: 50% of the land tour price if accompanied by at least 2 full-paying adults and sharing a bed with them. Flight ticket costs follow the airfare policy.

+ Children aged 8 to under 12 years: 75% of the total price if accompanied by at least 2 full-paying adults and sharing a bed with them.

+ Children aged 12 years and older: Charged at the full adult rate.

Note: Any additional bed required will be charged at the adult rate.

 

7. Unused Services

No refunds or exchanges are available for any unused services such as meals, accommodation, tours, transport, or other services.

 

8. Complaints and Claims

If you have any issues with our services, please notify our local guide or representative immediately to address the problem during your tour. For complaints or compensation claims, you must contact us via email or fax within 21 days after your tour ends. Vietpower Travel will mediate between you and other service providers, such as airlines, trains, boats, and hotels, to resolve any issues and achieve the best outcome.

 

9. Responsibilities and Force Majeure

Vietpower Travel is not liable for any direct or indirect losses, including financial, consequential, or physical damage, resulting from unforeseen events beyond our control, such as weather conditions, equipment breakdowns, government actions, civil disturbances, wars, strikes, riots, theft, epidemics, medical or customs regulations, terrorist activities, or other force majeure circumstances. We are also not responsible for loss of personal property, injuries from actions or negligence, or risks associated with tour activities.

 

10. Itinerary and Travel Documents

The itinerary and accommodation listed are subject to change due to unforeseen circumstances. We will strive to maintain the original plan and provide suitable alternatives if necessary. Changes to the itinerary, departure date, or destinations after booking confirmation may incur cancellation fees. Any modifications due to changes in transportation schedules will be adjusted in the costs accordingly.

 

Clients are responsible for ensuring their passports (valid for at least 6 months beyond travel dates), visas, and other necessary documents are in order. Vietpower Travel is not liable for any issues arising from clients' failure to obtain required documents.

 

11. Insurance

We strongly recommend that clients purchase personal travel insurance covering trip cancellation, medical needs, and other potential issues.

 

12. Early Check-in

Early check-in is not included in the tour price unless specified. Standard check-in time for most accommodations is 14:00. We will assist in securing the earliest possible room, but if early check-in is available, a surcharge may apply and will be communicated in advance.

 

13. Smoking

Smoking is not allowed on our tour transportation.

 

14. Accommodation

Accommodation is not confirmed until your deposit payment is received, except in special cases. We will confirm accommodation availability within about 2 working days. If the listed accommodation is unavailable, we will provide alternatives of similar standard.

 

15. Holidays or Special Events

During local or national holidays, special events, or notable days, some facilities or services such as churches, museums, tours, restaurants, and shops may be closed or have limited access. We will offer alternative arrangements when possible.

 

16. Privacy Policy

Vietpower Travel is committed to protecting your personal information. Your details will be used for booking services and registration at the Tourist Site Authority. While we strive to protect your information, we are not responsible for third-party practices regarding the use of your data.

 

17. Personal Data

Your personal information, such as name, email, and phone number, may be used for our future marketing. If you prefer not to be included, please notify us via email. Photos and videos taken during your tour may also be used for marketing purposes unless you inform us otherwise via email.

 

Please note that these Terms and Conditions may change without prior notice. If any changes occur after your deposit is made, the terms and conditions in effect at the time of deposit will apply.
